The correct ways to add Equella resources

Never copy and paste the link to a resource directly from Equella into Moodle. Doing this results in a log-in screen for students and does not utilise the version control capability of Equella, i.e. the link refers to a specific version of the resource (not always the latest).

Equella resources should be added one of the following ways to ensure a seamless experience to users and avoid additional log-in requirements. These methods will also ensure the latest version of the resource is provided to the end user.

1. Click the Add an activity or resource link and choose Equella resource to search, edit or select Equella resources

Note: After adding Equella resources using the above method, resources should be further edited in Moodle to with a more user friendly name (e.g. Unit Assessment Guide rather than BSBSUS301A UAG_v2_2013.pdf). They should also be configured to open in a new window/ pop-up 1024 x 768.

2. Click the Add an activity or resource link and choose File. Enter resource name and details. When you get to the content section. Select files, click Add and in the File Picker select Equella File to search and select a file. Select display options, i.e. Pop-up 1024 x 768.
3. Inside any HTML editor, you can link text to an Equella resource by selecting the text, clicking the link icon and the browse graphic at the end of the Link URL box, choose Equella File from the File Picker, etc.
4. Inside any HTML editor, you can insert an image stored in Equella by placing your cursor where you want the image to be; click the image icon; click the the Find or upload an image button, choose Equella File from the File Picker, etc.

Enrolment Keys explained!

Groups and enrolment keys work exactly the same as they did in Moodle 1.9 (they are just in slightly differeent places).

To give students access to a course, you need to choose one or many enrolment methods (Settings > Users > Enrolment methods). 

If you want students to self-enrol, you need to click the eye next to that method to activate it, then click the pencil icon to update customise that method. 

This is where you add your course enrolment key. If you don't add a key, anyone could enrol in your course as a student. 

Now, if you are using groups....

Groups add an extra level of complexity.
1. To put people into groups automatically, they will still need to self enrol into the course (see above setting the self enrolment method). However, after setting a course enrolment key (to stop just anyone accessing the course), choose yes next to 'Use group enrolment keys' (see above image). This tells Moodle that although they will be self-enroling, they will be going into groups and to accept the group enrolment key (see below) instead.

So, you still need that course level enrolment key there to stop just anyone accessing your course. The group enrolment key will override the course level one. If you are using groups, DON'T give out the course enrolment key.

2. To set up the group enrolment keys, from the course settings block > Users > Groups. 

You need to create your groups. Click the Create group button.

This is where you will place the group name and enrolment key. 

THIS is the enrolment key that you give students if you use groups and you want them to auto-enrol into the course and be placed directly into a group.
